You might notice the same question but it has different answers throughout the FAQ section. Answers can vary depending on the process in question. Check and make sure you are reviewing the question that corresponds only to the process you're questioning. I don't have a username and password. How do I get one?

Only signers on the General Statement of Assurance are assigned a userID to enter any Grants Management secure processes.

What is the Common Logon and how does it affect me for accessing Grants Management processes?

ADE uses a Common Logon whereby all LEAs given permissions to any ADE process will receive a userID. Once logged on, users will be told what ADE processes they have access to, including Grants Management. This single portal of entry eliminates the need for multiple userIDs for each ADE process. Also, users can "travel" from one Grants Management process to another, or from one ADE process to another, without logging in again, unless the browser window is closed or the logon is not utilized for more than 30 minutes.

Do usernames and passwords change from year to year?

Usernames and passwords will remain the same year to year unless the user changes it through the Common Logon site.

What if I forget my userID?

Grants Management cannot provide a forgotten password. The assignment of userIDs and passwords are now handled through ADE Support Center. To have your password reset you can call the ADE Support Center at 602-542-7378 or outside the Phoenix metro area at 1-866-577-9636.

My username/password isn't working, I can't logon onto the system, or I've been denied access to Grants Management. What's wrong?

  • Make sure the username and password were entered correctly. For example, what looks like the number zero may be the letter O; usernames are lower case with no spaces; and the password is CaSe sensitive.
  • Have you changed your Common Logon password recently? If the login page states that your password in invalid and you cannot remember what it is, please call the ADE Support Center to have your password reset. Contact the ADE Support Center at 602-542-7378 or outside the Phoenix metro area at 1-866-577-9636.
  • Are you a signer on the General Statement of Assurance or do you have capture-level permission for the current fiscal year? If not, you will be denied entry.
  • You can also contact the Grants Management Unit for problem resolution.

Although I am a signer on the General Statement of Assurance, I generally have qualified staff perform data entry and submission while "borrowing" my userID. Is this how to handle the situation?

A userID should always be securely protected and considered proprietary. Persons "loaning" their userID do so at their own discretion. However, Grants Management is able to assign "capture only" permission for data entry purposes only. This allows the user to enter data, but not submit.

What is CAPTURE access and how does it work?

CAPTURE access allows a user to enter data but not submit through the Grants Management Enterprise System. The person will not be a signer on the General Statement of Assurance but a person who is a signer for the current year must request this level of permission for the user.

To request a user to have CAPTURE access a typed letter to the ADE Grants Management Office requesting a person to have CAPTURE access must be submitted. The letter must be submitted on LEA (your entity's) letterhead and include 1) the name and title of the authorized representative (on the current year GSA) who is requesting the permission, and 2) the name, title, email address and phone number of the person being added. The requestor must sign the letter in blue ink. The new user will be notified of his/her own userID through the ADE Support Center.
